Booking Terms & House Rules

By accepting these terms at checkout and completing payment, you enter into an accommodation agreement with Meet the World Oy, trading as Finnish Flow (“Finnish Flow”, “we”, “us”). These terms apply together with the property description and booking details provided before payment.

1. Accommodation Provider

Finnish Flow rents accommodation from third-party property owners and provides the booked beds or rooms to guests in its own name. Your accommodation agreement is with Finnish Flow.

We may use property owners, local managers and other service providers to fulfil our obligations. This does not remove our responsibilities under this agreement or applicable law.

2. Check-In & Check-Out

  • Check-in: From 3:00 PM on the booked arrival date.

  • Check-out: By 12:00 PM on the booked departure date.

  • All times are local Swiss time, unless different times are expressly agreed before payment.

  • Early arrival, late departure and luggage storage require prior written agreement and are not guaranteed.

  • Unauthorised late departure may result in reasonable, documented additional costs directly caused by the delay. Any fixed late-checkout fee must be disclosed and agreed in advance.

  • Payment of a late-checkout charge does not create a right to remain in the property.

3. House Rules & Termination for Breach

Cleanliness

Guests must leave the accommodation reasonably tidy, dispose of rubbish as instructed and return kitchen equipment in a clean condition.

Excessive mess or cleaning beyond the standard end-of-stay clean may be charged at reasonable, documented additional cost attributable to your booking. Normal use and ordinary wear are expected.

No housekeeping is provided during the stay unless expressly included in the booking details.

Quiet Hours & Conduct

Quiet hours are 10:00 PM–8:00 AM.

Parties, events, loud music and conduct that unreasonably disturbs others are prohibited. Guests must respect neighbours, other occupants and reasonable safety instructions.

Approved Guests Only

Only registered guests may stay overnight. Visitors require prior written approval.

Occupancy limits must not be exceeded. Keys and access codes must not be shared with unauthorised persons.

Safety

Guests must not obstruct exits, disable safety equipment or use the property unlawfully.

Property-specific safety rules disclosed before booking must be followed. Any later instructions must be reasonable and necessary for safety or lawful operation. They must not materially reduce the agreed accommodation without the remedies described in Section 7.

Serious or Repeated Breaches

A material or repeated breach of these terms, including Section 6, may lead to termination of the affected booking or stay, subject to applicable law.

Where appropriate, Finnish Flow will first give a warning and a reasonable opportunity to remedy the breach. Serious safety threats or unlawful conduct may require immediate action.

Any removal must follow lawful procedures. Refunds and recoverable losses will be assessed under applicable law, accounting for saved costs and any resale, without double recovery. A complaint alone does not automatically justify eviction or forfeiture of payment.

4. Booking & Payment

  • Bookings cover the full availability period specified before payment. Staying for a shorter period does not reduce the price.

  • The booking details identify the property, arrival and departure dates, number of guests, bed or room type, included services and total price.

  • Applicable taxes, compulsory charges and any security deposit conditions must be disclosed before payment.

  • Unless expressly described as a private room or exclusive property rental, a booking is for the specified bed or beds only. Bedrooms and common facilities may be shared with other guests.

  • Booking one bed does not give exclusive use of the bedroom or apartment, or a right to select other occupants unless agreed in writing.

  • Full payment through Stripe is required to confirm the booking. The booking becomes binding once payment has been successfully received. Finnish Flow will send written confirmation.

  • If an inventory error prevents us from honouring a paid booking, Section 7 applies.

  • Please check your confirmation promptly and report discrepancies. Failure to notice an error does not waive mandatory rights.

  • Anyone booking on behalf of an organisation confirms that they have authority to bind it. The booking party must ensure that its guests receive and comply with these terms.

5. Cancellation & Changes

Bookings are non-refundable if you cancel, fail to arrive, arrive late or leave early, except as expressly provided in these terms or required by applicable law.

Personal illness, visa problems, transport disruption and weather-related travel delays do not ordinarily entitle you to a refund while the accommodation remains available and suitable for occupation. Mandatory rights and legally required adjustments in exceptional circumstances remain unaffected.

For accommodation booked for specified dates, the ordinary 14-day cancellation right for online purchases does not apply where excluded by applicable law.

Cancellation or rescheduling of WEF or other events does not itself cancel a separately purchased accommodation booking while the accommodation remains available. Mandatory rights applying to a combined travel arrangement remain unaffected.

Cancellation and change requests must be sent to josephine@finnishflow.com. Changes are effective only when confirmed in writing by Finnish Flow, subject to mandatory statutory rights.

If we resell cancelled accommodation for the same dates, we will credit you with the net amount recovered, after reasonable, documented additional costs, up to the amount you paid. Any greater refund or deduction for saved expenses required by applicable law remains payable.

6. Guest Substitutions, Unauthorised Resale & Commercial Use

Bookings are for use by the registered guests. They may not be advertised, resold, brokered, sublet, assigned or otherwise commercially exploited without Finnish Flow’s prior written approval.

This restriction includes:

  • Listing or offering accommodation through booking platforms, social media, messaging groups, agents or other channels.

  • Charging a markup, commission, booking fee or other premium for access to the accommodation.

  • Including the accommodation in a paid package or bundling it with other services to obtain a direct or indirect commercial benefit.

  • Acting through another person or organisation to carry out any prohibited activity.

Guest Substitutions

Genuine guest substitutions may be requested in writing. Requests must disclose the proposed guest’s identity and any payment or other consideration involved.

Approval is subject to reasonable identity, occupancy and house-rule requirements and will not be unreasonably withheld. Unless Finnish Flow expressly approves otherwise in writing, the replacement guest may not be charged more than the original price paid for the accommodation being transferred.

Approval of a guest substitution does not authorise advertising, commercial resale or a markup. A substitution does not release the original booking party from its obligations unless Finnish Flow agrees in writing or applicable law requires otherwise.

Authorised Sales Partners

Any authority to market or resell accommodation commercially must be established in a separate written agreement with Finnish Flow. Purchasing accommodation does not create an agency, reseller or sales-partner relationship.

Breach & Remedies

On reasonable evidence of a breach, Finnish Flow may require the booking party to remove unauthorised listings, cease the activity and provide information reasonably necessary to verify the proposed occupancy and transaction.

Unauthorised commercial resale or deliberate concealment of such activity constitutes a material breach. Finnish Flow may refuse an unauthorised guest substitution and, where legally permitted, terminate the affected booking in accordance with Section 3. Any required notice, opportunity to remedy or lawful removal procedure will be respected.

The booking party remains responsible for reasonable, documented losses and additional costs caused by the breach, to the extent recoverable under applicable law. Refunds and deductions will account for applicable legal requirements, saved costs and any resale proceeds, without double recovery.

Mandatory Rights

Nothing in this section restricts mandatory rights concerning subletting, replacement tenants or guests, cancellation or refunds under applicable law.

7. Accommodation Unavailable or Materially Changed

If we cannot provide the booked accommodation, or must make a material change before arrival, we will notify you promptly.

We may offer reasonably comparable alternative accommodation at no additional charge. A material substitution requires your agreement.

If you do not accept a material substitution, or no suitable alternative is available, you may cancel the affected booking and receive a refund for accommodation not provided. If the entire stay cannot be supplied, the full accommodation payment will be refunded.

Refunds will be made within 14 days after cancellation, normally to the original payment method.

These provisions do not limit additional rights to a price reduction, cancellation, reimbursement or compensation under applicable law. Cancellation by the property owner does not, by itself, remove Finnish Flow’s obligations to you.

8. Damage, Lost Keys & Additional Charges

The booking party is responsible, to the extent permitted by law, for damage and reasonable additional costs caused by its guests’ negligent or intentional acts or breaches of these terms.

This responsibility does not extend to normal wear, pre-existing defects or damage caused by unrelated occupants.

Guests must report damage, defects and lost keys or access devices promptly.

Lost keys or access devices may be charged at reasonable, documented replacement cost. This may include necessary lock or security-system changes where reasonably required to secure the property.

Finnish Flow will provide an itemised explanation and supporting evidence for additional charges. Undisputed invoices are payable within 14 days of receipt. You may raise a reasoned dispute using the accommodation contact above.

These terms do not authorise unrestricted additional charges to a stored payment card.

9. Problems During the Stay & Property Access

Please report accommodation problems promptly to Finnish Flow and, where supplied, the local property manager.

Guests must allow a reasonable opportunity to inspect and remedy the issue, taking its urgency into account. Finnish Flow remains your contractual contact even where a local manager handles practical matters.

If a defect cannot be remedied, applicable rights to a price reduction, cancellation or compensation remain available. Reporting requirements do not remove mandatory rights.

Finnish Flow or authorised personnel may enter the property where reasonably necessary for repairs, safety or another lawful purpose, with reasonable advance notice and regard for guests’ privacy. Emergency access may take place without prior notice where legally permitted.

10. Weather & Events Beyond Reasonable Control

Guests should plan for winter conditions and arrange suitable travel, clothing and footwear. Ordinary seasonal snow or cold does not automatically constitute force majeure.

Where an event beyond a party’s reasonable control prevents performance despite reasonable precautions, that party must notify the other promptly and take reasonable steps to reduce the consequences.

Liability for additional losses will be assessed under applicable law. This provision does not permit retention of payment for accommodation that cannot be provided: Section 7 and mandatory legal remedies continue to apply.

11. Liability & Insurance

Finnish Flow is responsible for performing its obligations with reasonable care and in accordance with applicable law.

We do not guarantee that accommodation will be entirely free from minor interruptions. This does not limit your remedies for defects or failure to provide agreed services.

Finnish Flow is not an insurer of guests’ belongings. Responsibility for loss, theft, injury or damage depends on the circumstances and applicable law.

Nothing in these terms excludes liability for intentional misconduct, gross negligence, death or personal injury caused by negligence, or any other liability that cannot lawfully be excluded or limited.

Guests are advised to carry travel insurance covering cancellation, medical expenses, travel disruption and personal liability. Insurance does not replace Finnish Flow’s contractual or legal obligations.

12. Event Access

Accommodation alone does not include Finnish Flow delegation membership, event admission, WEF accreditation or access to restricted areas unless expressly included in your booking.

Finnish Flow is an independent organiser and is not affiliated with or endorsed by the World Economic Forum.

13. Applicable Law & Disputes

This accommodation agreement is governed by Swiss law, without depriving consumers of mandatory protections that apply under the law of Finland or another relevant jurisdiction. Mandatory rules concerning Swiss property and accommodation remain applicable.

Disputes may be brought before the courts competent under applicable law. These terms impose no mandatory arbitration requirement or restriction of a consumer’s statutory choice of forum.

14. Contract Documents & Changes

Specific booking details agreed before payment prevail over inconsistent general provisions in these terms, subject to mandatory law.

The version accepted when booking applies to that booking. Later website edits do not retrospectively change the agreement. Changes require agreement except where permitted by law or expressly provided in these terms.

If a provision is invalid or unenforceable, mandatory law applies in its place. The remaining provisions continue to apply to the extent legally possible.
